Cancellation & Refund Policies for FSC General Assembly 2025 (GA2025) Registration fees

FSC hopes everyone who registers for the FSC GA2025 will be able to attend; however, FSC knows unforeseen circumstances may occur.

This Cancellation & Refund Policy governs the cancellation and refund without a specific reason (a), as well as for cases due to the unforeseen circumstances (b), to a COVID-19/Sickness case (c), and visa denial.

a. Cancellation and Refund without specific reason

If the person registered to participate in the FSC GA2025 in-person prefers to cancel the registration without a specific reason, the following shall apply:

Received by 05 August 2025 midnight CET Full refund minus the administration fee (8% of the registration fee). Virtual participation is not permitted in such a case.
Received between 06 August 2025 - 15 September midnight CET 50% refund minus administration fee*
Received after 15 September 2025 No refund*

b. Unforeseen Circumstances Defined for Refund and Cancellation Policies:

Unforeseen circumstances may be assumed in case of an event that is not reasonably anticipated, not within control of the concerned party and prevents the registered person from physically participating in the FSC GA2025. Examples of such circumstances can include, but are not limited to, strikes, lockouts, terrorist attacks, civil commotion, riot sabotage, acts of public enemy, governmental action, revolution, war, threat of or preparation for war, political unrest, fire, explosion, flood, earthquake, epidemic or other natural physical disaster.

If the person registered to participate in FSC GA2025 in-person prefers to cancel the registration because unforeseen circumstances hinder him/her to participate, FSC will refund the full registration fee minus the administration fee, if the evidence of the unforeseen circumstances is provided. Virtual participation is not permitted in such a case.

If the person cancels for unforeseen circumstances but prefers to participate virtually in the FSC GA2025, then FSC will refund 50% minus administration fee.

c. Cancellation due to COVID-19/Sickness

* The participation virtually instead of in-person is still possible.

If the person registered to the FSC GA2025 prefers to cancel the in-person registration to the FSC GA2025 because he/she was denied departure/entry to the country or was obliged to isolate during the quarantine process, and/or tested positive for COVID- 19/Sickness, and because of this reason he/she is not able to participate in FSC GA 2025 in-person, the following shall apply:

d. Visa Denial

If the person registered to participate at the FSC GA2025 in-person prefers to cancel the
registration due to a visa denial beyond his/her control, the following shall apply:

e. Cancellation process
