How to appoint a Proxy - FAQs

Where can I appoint a Proxy?
Head to the Member’s Resources section on the top navigation and select Proxies. On tis page you will find all the information related to Proxies. To start the process for designating a Proxy to vote on your behalf click “Designate Proxy”. Please note that you will have to log in with your Member’s Portal credentials to proceed.

Can I choose which person I want to designate as my Proxy?
Yes, you can. Once you logged in you will see a complete list of members who are eligible to act as your Proxy. You can look and select someone from the list or use the search bar to find the name of the member you wish to appoint as your Proxy. Please note that only designated members in good standing can be appointed.

Can I designate someone from my organization to be my Proxy?
Yes, above the members’ list are two tabs: “Members List” and “My Organization”. Select this last one to see the list of people from your organization who are legible to be designated as your Proxy.

How can I submit my Proxy request?
After you have selected a member from the list, click on “Assign Proxy”. You will see a new button that will let you download the Proxy request form. Please fill in and sign the from, then scan it and upload it back to the website (Member’s Resources/Proxies). Only after the form is uploaded, you will be able to submit your request.

I uploaded the wrong document; can I delete it and upload a new one?
Yes, but only if you haven’t submitted your request. After you upload the document, you will see a confirmation message and the document you just upload. To remove it just click on the “X”, then you will be able to upload a new document before submitting your request.

How can I track the progress of my Proxy submission?
On the Proxies page (after logging in), you can track the submission progress of your request from request initiation to final submission.
Once you have completed and submitted your request you will also be able to view the Proxy form that you sent along, by clicking on the “View” button.

How long will it take for my request to be reviewed and approved?
FSC will review your request once you have fully submitted it, including the signed Proxy request form. We will notify you of any updates, whether your request has been approved, rejected or if any additional documentation is needed within 10 working days.

How can I track the status of my Proxy designation request?
You can track the status of your request on “My Proxy Representation” section on the Proxies page, located on the left side of the screen. On this page you can see the details of who you have designated as Proxy, the member type and status among others.

Where can I see an overview of the Proxies I hold?
On “My Proxy Representation” section on the Proxies page, located on the left side of the screen you can see a list of the proxies you hold. This page lists all proxy entries and displays key details including:
- Requested By
- Designated Proxy
- Status (Draft, Submitted, Approved, or Cancelled)
- Type
- Member Type
- Actions

How can I change the member I have designated as my Proxy?
Unfortunately, you cannot change or swap the member you have appointed as your Proxy. You will need to first cancel your current Proxy request and submit a new one. You will also need to fill in and submit a new Proxy request form.

I will be attending the GA after all, how can I cancel my Proxy request?
Go to the Proxy page (Member’s Resources/Proxies) and click on “Designate Proxy”. This will prompt you to log in with your Members’ Portal credentials. Once logged in, head to “My Proxy Representation” section on the left side of the screen. Here, next to the details of your request, you can find the option to cancel the request.
